AI meeting notes: speed needs a review step

A summary is not the source

An AI-assisted summary can make a long discussion easier to scan. It can also miss context or present an unconfirmed suggestion as a decision. Keep the recording or transcript accessible so a reviewer can check where a statement came from. The shorter a summary becomes, the more important those source references are.

Separate decisions, suggestions and actions

Organise notes into agreed decisions, ideas still under discussion and follow-up actions. If a responsible person or deadline was not stated, mark it as unresolved instead of inventing one. This makes the notes more useful and gives the team a clear list of details that still need agreement.

Have a participant review the output

Someone who attended can spot a wrong name or a missing qualification quickly. Customer commitments, budgets, legal topics and personnel information deserve particular care. Give colleagues a way to suggest corrections, and avoid treating the first generated version as the final record.

Consider access and retention

Not every recording should be shared with the same audience. Review the tool’s data handling terms and decide who can access files and how long they are kept. Record2Text focuses on moving from audio to useful information; the mobile release’s capabilities and data terms should be reviewed when it becomes available.

Separate what was said from what was decided

An automated summary may compress an uncertain discussion into a confident sentence. A proposal is not a decision, an estimate is not a deadline, and a person mentioning a task is not necessarily accepting it. Treat the first summary as a draft that helps you find the relevant parts of the conversation.

Before sharing the notes

  1. Label items as decisions, open questions or proposed actions rather than combining them into one undifferentiated list.
  2. Verify every action owner and date against the recording or with the participants.
  3. Remove sensitive or irrelevant discussion before distributing notes beyond the original group.

A short, reviewed action list is more useful than a long summary no one trusts. When the recording does not establish an answer, write that the item needs confirmation. Keep a route back to the source so that someone can check the context without replaying the entire meeting.
